Introduction
FacilityBot now includes an Items to Order module within Requests, allowing requesters to specify a list of items to be ordered directly in the request form. This is especially useful for teams managing procurement, maintenance supplies, or any scenario where specific items are needed to fulfill a request.
By enabling this feature, users can input detailed item lists with descriptions and quantities, while approvers and processors maintain full visibility into what’s required.
Enabling Items to Order in Request Types
To activate the Items to Order feature for a specific request type:
- Log in to the FacilityBot Web Portal. Navigate to Settings → Requests→ Request Types.
- Click the “+New” button on the far right. A window will appear where you can build a new request form.
- Now, let’s create a drink order form where users can select from a list of available drinks, each with a price and image. Give the request type a clear and appropriate name.
- Edit the form as needed. You can add various components, including instructions, questions, file uploads, a Location Tag, and a pre-set list of Items to Order.
- Scroll through the list of available input sections, then click + Add Question to insert the “Items to Order” field into your form.
- Rename the field if needed, then click Manage Items.
- Click +New to add items for requestors to choose from.
- Enter the item name, then add a photo, description, price, and set the maximum quantity allowed per order. Once done, click OK to save.
- Now, return to the form you’re creating and click Save to apply the changes.
Submitting Requests with Items to Order
- Go to Features → Requests, then click + New Request.
- Click the box under Request Type, then select the form you created from the dropdown menu.
- Fill out the form, entering the quantity for each item you wish to order.
- Once you’re finished, scroll down and click Submit.
The Items to Order feature streamlines itemized submissions across various request types by allowing users to select predefined items with details like quantity, price, and description. It adds structure to procurement and inventory-related processes while helping teams stay organized, consistent, and accountable.
