An Approach for Mission-Critical Requirements

While FacilityBot is committed to continually improving our platform through user-submitted Feature Requests, we understand that some organizations have unique, urgent, or highly specialized requirements that fall outside our standard development roadmap.

For these critical needs, FacilityBot offers a Paid Customization service, providing prioritized development to deliver the exact solution you require. This approach ensures your specific operational needs are met on an agreed-upon timeline.


Our Paid Customization Process

Our process is structured into three phases to ensure clarity, accurate scoping, and successful delivery of your custom feature or integration.

Phase 1: Paid Discovery and Scoping

The Discovery Phase is a mandatory first step for all paid customization projects. It is designed to transform your high-level requirement into a detailed, executable development plan. This phase is billed as a dedicated service, providing you with a clear, documented outcome regardless of whether you proceed with the development.

Technical Feasibility AssessmentOur engineers evaluate the request against the current FacilityBot architecture, assessing technical complexity, potential scalability issues, and required resource allocation.
Solution Design & DocumentationWe create detailed technical specifications, user stories, and mockups (where necessary) for the custom feature.
Effort EstimationBased on the detailed design, we generate a comprehensive effort estimate, provided in man-days, for the Phase 3: Dedicated Development work.
DeliverableA Discovery Report containing the detailed specifications, technical design, and the official effort estimate (in man-days) and timeline for the customization work (Phase 3).

Important Note on Estimates:

The effort provided in the Discovery Report is an estimate, not a fixed-price quote. This allows us to maintain an agile approach and account for unforeseen complexity or potential minor scope adjustments (scope creep) that often arise during the development of bespoke solutions. Development work will be executed on a time-and-materials basis.

Cost & Duration:

The cost for the Paid Discovery Phase is dependent on the complexity and scope of the request, typically quoted as a fixed fee, and is outlined before the phase begins. Discovery duration usually ranges from 1 to 4 weeks.


Phase 2: Customization Proposal & Agreement

Upon completion of the Paid Discovery Phase, FacilityBot will present the Discovery Report.

  1. Review: You review the Discovery Report, including the detailed technical specification and the associated effort estimate (in man-days) and timeline for the development work.
  2. Credit Purchase: Upon approval, you purchase the necessary man-day credits to cover the estimated effort.
  3. Contract: A formal Quote will be provided and signed, attaching the scope defined in the Discovery Report.

Phase 3: Dedicated Development & Deployment

In this phase, our team executes the plan developed during Discovery.

Structure & BillingDelivery Process
Man-Day CreditsDevelopment effort is tracked and billed against prepaid man-day credits. These credits are sold in packages of 10 man-day increments and must be purchased before development commences.
Time & MaterialsWork is performed on a time-and-materials basis. If the project is completed under the estimated man-days, unused credits can be applied to future customization projects. If the effort exceeds the estimate, additional credit packages will need to be purchased to complete the scope.
Prioritized DevelopmentYour project receives priority status outside of our regular product roadmap.
Testing & QAThe feature undergoes rigorous internal testing, followed by a User Acceptance Testing (UAT) period conducted by your team.
DeploymentThe new feature or customization is deployed to your live environment, following a coordinated schedule.

Important Caveats

Please note the following limitations concerning paid customization:

  1. Right to Decline: FacilityBot reserves the absolute right to decline any customization request, even when the client is willing to pay. We will not act on requests that are deemed to compromise the security, integrity, stability, or long-term product vision of the platform, or those that involve illegal, unethical, or inappropriate activities.
  2. Estimate, Not Fixed Fee: As detailed in Phase 1, the effort provided for development is always an estimate, reflecting the nature of bespoke software development. We manage budgets by tracking and billing against prepaid man-day credits.
  3. Intellectual Property Rights (IPR): Notwithstanding payment for development time, FacilityBot retains full and exclusive ownership of all intellectual property rights, copyrights, and source code developed during the customization project. The client receives a license to use the feature as part of their standard FacilityBot subscription.
