Report a Fault Automatically by Sending a Photo

Introduction

FacilityBot uses AI to make fault reporting faster and easier through messaging channels. When a Requestor starts a Report Fault conversation and sends a photo instead of entering details manually, FacilityBot analyzes the image and automatically suggests the Fault Type, Fault Sub-type (if configured), a plain-language Description, and the Location based on the photo’s GPS data, when available. 

How It Works

Turn On Image Fault Reporting

  • Log in to the FacilityBot Web Portal.

  • Go to Features, then Requests, then click View Request Settings.

  • Select the Fault Reporting tab, then the General sub-tab.

  • Confirm Require Fault Reporting using a Web Form in Messaging Channels is set to No, so Requestors report faults in-chat instead of through a web form.

  • Turn on Allow AI Image fault reporting.

  • Update the Step 1 message to let Requestors know they can send a photo, for example: “Please select the type of fault that you would like to report. Or, send a photo of the fault and I will automatically fill in the details for you.”

  • Review the other step messages (Step 1b, Step 2, Step 3, Step 4, and the related success and error messages) and adjust the wording if needed — these are shared by both the manual and AI-assisted flow.

Report a Fault by Sending a Photo

  • Start a Report Fault conversation with FacilityBot on your messaging channel, then send a photo of the fault as your first message.

  • FacilityBot lets you know it received your photo and asks you to wait while it analyzes the image.

  • FacilityBot suggests a Fault Type from the photo. If confident and matched to your site’s configuration, it’s filled in automatically; otherwise, you’ll see options with its best guess first. For configured Fault Sub-types, FacilityBot suggests one the same way. It also generates a plain-language Description based on the photo.

  • FacilityBot tries to detect your location from the photo’s built-in GPS data. If it finds a match to a configured Location Tag, the location is filled in automatically; if not, you’ll be asked to type your location.

  • FacilityBot shows a confirmation summary with your uploaded photo, Fault Type, Fault Sub-type, Description, and Location.

  • Review the summary, then reply Confirm to submit the report as shown, Edit to change any field first, or Cancel to stop.

  • Once confirmed, FacilityBot creates the fault report and sends you a case ID.

The Image Fault Reporting feature makes it faster and easier for building occupants to report faults accurately without needing to remember fault terminology or type out a description. With a single photo, FacilityBot can automatically populate the Fault Type, Fault Sub-type, Description, and Location, reducing the steps required to submit a report while still allowing Requestors to review and correct the details before anything is submitted. Common use cases include casual or first-time reporters who rarely interact with the chatbot, faults that are difficult to describe in words, such as leaks or damage, and sites that want higher-quality, better-categorized fault reports with photo evidence attached from the start. The feature is available on supported messaging channels, with other channels, such as web forms, planned for later.
