AI Knowledge Feature

Introduction

FacilityBot now includes the AI Knowledge Feature, an intelligent AI-powered document question-and-answer system that allows users to upload technical manuals, SOPs, policies, and operational documents, then instantly retrieve answers using natural language queries. This feature helps facility managers, technicians, and operations teams quickly locate important information without manually searching through lengthy PDFs.


Accessing AI Knowledge

To access the AI Knowledge Feature:

  • Log in to the FacilityBot Web Portal.
  • Navigate to AI Knowledge from the left sidebar menu.
  • The page will open with:
    • Chats Panel (Left)
    • Chat Interface (Center)
    • Documents Panel (Right)

How It Works

Uploading Documents

  • Open the Documents Panel. Click the orange “+” button.
  • Select a PDF file from your computer. Name the document and select the document type. Then click upload.
  • The system automatically begins parsing and indexing the document.

Waiting for Parsing

After upload:

  • Documents marked with ✅ are fully ready for AI queries.
  • Documents marked as 🔄 PARSING… are still being processed.

Large manuals may require additional processing time.


Starting a Chat

  • Open the Chats Panel. Click the orange “+” button to create a new chat session.

Asking Questions

  • Type your question into the Ask a question… field.
  • Press Enter or click the ➤ send button.
  • The AI scans all processed documents and generates a response.

Reviewing Responses

Users may:

  • Read summarized or extracted answer
  • Ask follow-up questions
  • Rate answers using 👍 or 👎 feedback buttons

The AI Knowledge Feature helps facility operations teams quickly retrieve important information from uploaded manuals, SOPs, policies, and technical documents without manually searching through large PDFs. Common use cases include locating maintenance procedures, reviewing emergency response SOPs, retrieving compliance and policy details, troubleshooting equipment faults, and assisting technicians during maintenance activities. By centralizing operational knowledge into an AI-powered searchable platform, FacilityBot improves response times, enhances technician efficiency, and supports faster decision-making across facility operations.
