Visitors – Visitor Sign-Out Functionality

Introduction

FacilityBot supports multiple ways for visitors to sign out, ensuring accurate visitor tracking, improved security, and operational flexibility. Visitors can sign out manually via Tablet or QR Code, be signed out by an Admin/Manager, or automatically through system-configured settings.

To enable this feature:

  • Login to the Facilitybot Web Portal.
  • Go to Features, then Visitors
  • Navigate to View Visitors Settings
  • Go to Sign-Out Flow Tab, and click “Sign Out Settings.”
  • Enable Self Sign-Out to allow visitors to sign themselves out. Enable Automatic Sign-Out to have visitors signed out automatically—be sure to set the desired time for auto sign-out. Then, click Save to save the settings.

Sign-Out Methods

FacilityBot provides three main ways to sign out visitors:

1. Self Sign-Out (Tablet or QR Code)

Visitors can sign themselves out using:

  • Tablet (on-site kiosk)
  • Static QR Code (same as sign-in QR)

How it works:

  • Visitors access the Sign-Out screen
  • They search using:
    • Visitor Name, or
    • Visitor ID
  • A minimum of 3 characters must be entered to trigger search results
  • Matching results display:
    • Visitor Name
    • Visitor ID (to differentiate similar names)
  • Visitor selects their record and confirms sign-out

This ensures privacy and prevents users from seeing a full list of visitors.

2. Admin / Manager Sign-Out (Dashboard)

Admins and Managers can manually sign out visitors via the web portal.

Capabilities include:

  • Manually sign out any active visitor. Click sign out icon.
  • Confirm by clicking ok.

Manager permissions are aligned with Admin capabilities for this feature.

3. Automatic Sign-Out

Admins can enable Auto Sign-Out for specific locations.

How it works:

  • Visitors who have not signed out by a configured time will be automatically signed out
